Creating and Deleting Labor Assignments

This article shows how to add, delete, and update resource and skill assignments.

Add Assignment Overview

The structure of the Add Assignment dialog depends on the location in which it is opened.

The general case is when the dialog is opened in Projects > Assignments or Resources > Assignments. Any project can be selected and any set of resources/skills as well.

Projects > Assignments and Resources > Assignments

Click the “+” button (Add) or the dropdown arrow and select either Resource Assignment or Skill Assignment.

Resource Workspace

Opened in an individual resource Workspace, the name of the resource is a given and there is no option to create a skill assignment. The only real choice is the project, and perhaps the required skill.

Project Workspace

Opened in an individual project Workspace, the project is a given, but there is still the option to create a skill or resource assignment and the selection of resources/skills and required skill is the same as the general case.

Adding Assignments in Projects > Assignments or Resources > Assignments

Select a project before taking other action. The list of candidate resources can depend on the project selection, e.g. if the Include Assigned checkbox is NOT checked.

Simplest Method

1.     Select a project.

2.     Uncheck the Has Skill checkbox.

3.     Select a resource.

4.     Click Add & Close.

5.     Enter needed demand values in period date cells.

6.     Click the Save icon at the upper right of the page.

If the Required Skill field is empty when a resource assignment is added, the Primary Skill of the resource is used for the Required Skill in the assignment.

Add Resource Assignment Dialog

Type ahead search/filter is available in the Project and Required Skill input boxes. After entering a portion of the desired field value (e.g., “ch” below in the Project box), items matching the search value are displayed. Click the desired item to select it.

If the Required Skill field is left empty when making a resource assignment, the Primary Skill of the resource is used for the Required Skill in the assignment.

If the checkbox Has Skill is checked, a value in the Required Skill field in the dialog filters the list of resources for selection. In the screen below, Elect Eng in the Required Skill box displays all resources who have that skill across all organizations.

Filter the candidate resource list further with text string search. Type one or more characters in the Resource input box and click the magnifying glass search icon at the right of the box.

Select one or more resources from the list and click Add & Close.

One assignment row is created for each selected resource. Now enter the effort (demand) needed by the project in the date period cells.

Drag-Fill

Enter a value in a cell, press the Return key to complete entry, select the Fill handle at the lower right of the cell and drag to fill cells with the same value.

Notice that every cell with a new value (since Load) has a small red mark in the upper left corner of the cell. These marks signify change. They are removed after a Save or Reload operation.

When all assignments have been created and demand values have been entered, click the Save icon at the upper right of the page.

Creating assignments for multiple projects in one dialog session

After selecting the first set of resources, click the Add button instead of the Add & Close button.

This creates the specified assignments in the background, clears the dialog, and leaves it ready to create more assignments to the same or other projects with the same or different required skills. Click Add & Close on the last set, or click Add and then Cancel.

When Add Skill Assignment is selected, a dialog box opens to specify the Project, Resource OBS and Required Skill.  All three fields are required.  Wildcard searching is possible in each field.

Note: Skills are defined in the Administration area under Lists. See Administering Lists for more details.

Simplest Method

1.     Select a project.

2.     Select a Resource Org node (leave In Node checked).

3.     Select one or more skills.

4.     Click Add & Close.

5.     Enter needed demand values in period date cells.

6.     Click the Save icon at the upper right of the page.

The Resource OBS node specifies the organization from which the skills are needed.

Type ahead search and text entry search work as described above for resource assignments.

Delete Assignments

WARNING: If you are using Baselines for comparison to forecast and actuals, we recommend NOT deleting Assignments, but making them inactive instead. This is because deleting an Assignment also deletes the Baseline for that Assignment. It is also why Skill Assignments are not deleted once they've been filled. Otherwise the Skill Assignment Baseline would be deleted.

Selecting one or more assignment rows and clicking “Delete” will remove the assignment…

Save to the Database

To save changes to the database, click on the Save icon at upper right of the page.
