Defining Financial Items

Launch the Administration module with Admin > Administer Lists. On the PDW Lists sheet, scroll to the right to find the Financial Items table.

Create entries in the table for all items that may be assigned to projects as elements of a financial plan.

Fields

  • Name - The name that appears in the Financial Item column for financial assignments on the Financial Detail sheet.
  • Cost/Bill Rate - Use one or the other, not both, of these fields. Use Bill Rate for items with Category value “Revenue”. Use Cost Rate for all other items.
  • Order - The default order of financial items in dialogs.
  • External - In most cases this should have the value “N”, for “No”. Items marked “Y” will be summarized in a separate column in the financials section on the Project Data sheet.
  • Category - The name that appears in the Financial Type column for financial assignments on the Financial Detail sheet. Reports can summarize based on these categories.

Reserved Category Terms

There are three reserved terms for financial categories: “Revenue”, “Labor”, and “Capital”. These terms are used for special summarization in the PDWare Financial module.

  • Capital - All assignments with this category value are summarized to the Capital row on the Portfolio Summary and BFA sheets and in the header rows on all financial module sheets.
  • Labor - All assignments with this category value are summarized to the Labor row on the Portfolio Summary and BFA sheets and in the header rows on all financial module sheets. [See the description of the special attributes and uses of the Labor financial item below.]
  • Revenue - All assignments with this category value are summarized to the Revenue row on the Portfolio Summary and BFA sheets and in the header rows on all financial module sheets.
