3.3 Status Field List

When an empty row is created at the bottom of the table, the Select Field dialog appears. It lists all available Project Data fields that have not already been chosen.

Use the UDF fields only checkbox to limit the list.

Right click in the Type column to open the Select Type dialog. The Type cannot be changed for List and Lookup fields.

Left click on an empty GYR Explanation cell in a row where the Type is GYR and the Select Field dialog appears.

To change a previously selected GYR Explanation field, right click on the non-empty GYR Explanation cell.

GYR

Left click select a GYR field launches the GYR dialog; single click on a value in the dialog applies that select to the cell and closes the dialog.

UDF fields identified as GYR are colored appropriately on Project and Program Data if the values are “G”, “Y”, “R”, or “na”

List

Any standard controlled list field on Project Data automatically has type “List”. Left click on a List status field in the Status module launches the list entry dialog with the appropriate values as choices.

Lookup

Any Lookup list field on Project Data automatically has type “Lookup”. Left click on a List status field in the Status module launches the list entry dialog with the appropriate values as choices.

Pop-up

When selected in the Status module, a large text dialog box is launched. If the field has been marked Read Only in the Status Field List, no changes made in the dialog will be applied to the cells on the Status Entry sheet.

Read

Cells are locked on the Status Entry sheet in the Status module.

The administrator can make any optional field in the Status Field List Read Only; the type is automatically set to Read.

Calculated fields such as FTE, Labor Cost, Total Cost or optional calculated fields such as Current Phase or Non-Labor Category cost summaries are set to Read and cannot be changed.

Note: The option to set Read Only on a field by field basis gives the organization the ability to fine tune project attribute update rights. A user with P2 rights to a project OBS node can check out all projects in the node and change any field.

A user with P1 (edit) rights to individual projects can change only those non-Read Only fields that appear on the Status Entry sheet in the Status module.

If there is an optional or calculated field associated with a user defined field, Read Only will be set to “Y” (= True). The Current Phase field in the screen shot above is a calculated field.

If a standard Project Data list field such as Program, Domain, Code is selected, the type is automatically set to “LIST”.

If a Lookup list field is selected, the type is automatically set to “LOOKUP”.

A field with Type = “GYR” is treated as a stoplight status indicator. On the Project Data sheet the cells in the column get the standard GYR highlighting if the value is one of the following: “G”, “Y”, “R”, “na”.

GYR fields in the Status module get the same highlighting. When one is selected, a GYR dialog appears automatically.
